Role Purpose

The VP, Execution and Delivery will build and lead the execution and delivery engine of Up2 Tech Pvt Ltd . This role sits between the founders and the delivery teams, owning end-to-end project execution, operational processes, and cross-functional alignment. The person in this position will design the systems, governance, and rituals that enable the company to scale delivery reliably, while laying the foundation to grow into the COO role as the business expands.

Key Responsibilities

1. Delivery Planning, Execution & Management

  • Own end-to-end execution and delivery for all client engagements, from intake to go-live and stabilization.
  • Define realistic project scope, timelines, and resourcing in partnership with founders, account managers, and team leads.​
  • Implement weekly planning and review cadences to monitor progress, surface risks early, and keep work on track.​
  • Ensure projects are delivered on time, within scope, and at expected quality levels, with clear accountability across teams.

2. Resource Allocation & Utilization

  • Maintain a real-time view of resource capacity, workload, and upcoming pipeline across design, development, marketing, QA, and related functions.
  • Implement utilization tracking by team and individual to identify overload and idle capacity.
  • Proactively rebalance workloads and coordinate with function leads to prevent burnout and ensure optimal use of talent.​
  • Provide input to hiring, vendor use, and upskilling plans based on demand and capacity trends.

3. Process, SOPs & Quality Systems

  • Design and roll out standard operating procedures (SOPs) for project intake, estimation, handoffs, quality gates, approvals, and client go-live.
  • Introduce quality checkpoints at key stages of the lifecycle to catch issues early and reduce rework.​
  • Define and enforce clear acceptance criteria and sign-off processes before client delivery.​
  • Continuously improve processes to remain practical and lightweight, avoiding unnecessary bureaucracy while supporting scale.

4. Cross-Functional Coordination & Governance

  • Bring all teams together for regular planning and progress reviews.
  • Ensure shared understanding of scope, timelines, dependencies, and ownership across all involved teams.​
  • Act as a neutral facilitator to resolve inter-team conflicts, unblock decisions, and align priorities.
  • Improve transparency of work-in-progress, dependencies, and upcoming pipeline for leadership and stakeholders.

5. Escalation Management & Continuous Improvement

  • Serve as the primary operational escalation point for project execution and delivery issues, resolving the majority without founder intervention.
  • Identify patterns behind escalations, delays, defects, and scope creep; drive root-cause analysis and systemic fixes.​
  • Implement preventive measures such as process adjustments, training, and tooling enhancements.​
  • Foster a culture of learning, constructive feedback, and non-blaming problem solving around delivery incidents.

6. Performance Measurement & Reporting

  • Define and track key execution and delivery metrics, including on-time delivery rate, utilization, defect and rework rates, project margins, and client satisfaction.
  • Build and maintain simple dashboards and regular reports for founders and leadership.​
  • Use data insights to prioritize improvement initiatives and measure their impact over time.​

7. Leadership, Structure & Talent Development

  • Work with founders to define and refine the delivery organization structure, including clear team lead roles for each function.
  • Set KPIs and expectations for team leads and key delivery roles, moving from intuition-led to data-led management.​
  • Mentor and coach team leads to grow their leadership, decision-making, and operational skills.​
  • Contribute to career pathways and development plans for individual contributors, supporting internal progression into lead roles.​
Expected Outcomes (6–12 Months)
  • Core SOPs for delivery, handoffs, and QA implemented and actively used across teams.
  • Weekly planning, review, and coordination rituals running consistently with visible improvement in predictability.​
  • Utilization tracking live, with reduced variance between overloaded and underutilized team members.​
  • 10–15 percentage point improvement in on-time delivery from current baseline.
  • Reduction in late-stage defects and rework due to earlier quality gates and clearer ownership.
  • Multiple major delivery escalations handled without founder involvement, freeing founders’ time for strategy and growth.
Candidate Profile

Experience & Background

  • 10+ years of experience in delivery, execution, operations, or program management roles, with at least 5 years in a senior leadership capacity in a digital agency, IT services, consulting, or similar environment.
  • Proven track record overseeing multi-disciplinary teams (design, engineering/development, marketing, QA) and complex project portfolios.​
  • Demonstrated experience building or maturing delivery/operations processes, PMOs, or similar structures.​

Skills & Competencies

  • Strong command of project and program management practices and tools, adapted to an agency/service environment.
  • Ability to design and implement processes that balance rigor with agility and speed.
  • Data-driven mindset with ability to define, interpret, and act on operational metrics.​
  • Excellent communication, facilitation, and stakeholder management skills, including conflict resolution.
  • High emotional intelligence, with a track record of building trust and credibility across teams and levels.​

Leadership Qualities

  • Operates as a senior partner to founders, comfortable with high ownership and visibility.
  • Hands-on, willing to get into details while maintaining a strategic, system-level view.​
  • Change agent who can introduce structure and metrics in a way that is enabling, not restrictive.​
  • Clear ambition and suitability to evolve into the COO role as operations and company scale mature.

What This Role Is Not

  • Not a surveillance or micro-monitoring position; focus is on systems, processes, and outcomes, not micro-management of individuals.
  • Not a layer of bureaucracy; processes are expected to be practical, lightweight, and value-adding.​
  • Not a replacement for founders; founders retain primary responsibility for strategy, culture, and business development.
  • Not a pure cost-cutting role; emphasis is on margin improvement through better utilization, quality, and predictability, not layoffs.
